Job Description
PURPOSE AND SCOPE:The Specialist III, Student Life coordinates,
organizes, and executes various events, managing contracts,
purchasing process & business procedures. Develops, monitors and
maintains budgets for the Office of Student Life and all individual
student organizations, assists in planning and executing Student
Life Activities, and promotes/publicizes student involvement in
Student Life programs. ESSENTIAL JOB FUNCTIONS:
- Provide administrative, clerical, analytical, and operational
support to Student Life. Lead the planning and implementation of
student programming activities such as new student check-in and
orientations, seminars, special topic workshops, and joint
programming with other campus or community entities
- Coordinate various financial procedures for all Student Life
areas such as budget/journal entries, direct pays, deposits, ePars,
purchasing supplies, process PO's, etc.
- Develop, monitor and maintain up to 30 budgets for the Office
of Student Life and all individual student organizations using
iStar generated reports and personalized Excel spreadsheets. Track
all expenditures for accounting purposes and ensure proper
transaction coding (correcting as needed). Answer all budget
related questions, ensure accounts are not allowed to go into the
negative and send out regular account notices
- Coordinate Student Life events, including room reservations,
facility set up, OTS requests, maintenance requests, catering,
performer & independent contracts, and payment requests. Assist in
the planning and execution of Student Life activities. Lead in all
ordering processes, tracking expenses, and making sure proper
paperwork is submitted in a timely fashion. Purchase and/or rent
supplies and equipment for Student Life events on campus and for
individual clubs. Serve as a main point of contact to outside
vendors
- Manage the Student Center and part-time student workers
responsible for the hiring process, work schedules & time entry.
Supervise staff activities.
- Update student group and event information on Student Life web
pages, and ensure posted links to paperwork are updated and
correct. Design posters and flyers to advertise upcoming events (as
needed). Create custom forms for the department/organizations using
Adobe Form Central for the purposes of tracking and gathering
specific information to be used in reports. Edit and proofread
documents for publishing.
- Assist and train student leaders/club advisors in related
functions such as travel paperwork/processes, transportation,
bookkeeping, club business cards, purchasing supplies, club event
set up, etc. Maintain records of budget expenditures for Student
Life, clubs/organizations, Recreational Sports, and Diversity
Initiatives including budget reports, journal drill downs,
etc.
- Manage student work space/activities in the office of Student
Life and serve as secondary supervisor for part-time and work-study
students. Maintain a record of work-study student timesheets.
Regularly delegate tasks to workers and assist with the completion
of more difficult tasks.
- Promote student involvement on campus by providing information
on all active clubs to interested students. Assist in the club
formation process by offering pertinent information on where to
locate interested advisors/sponsors and how to recruit members
using approved methods.
- Assist on-campus departments with their activities by providing
information on processes, documentation procedures and common event
planning processes. Track items borrowed by other departments and
inventory storage items.
- Compile information to create spreadsheets for use in Program
Manager's reports and presentations to Vice Presidents and
President-monthly, as an annual report for Student Life and as
needed. Process all incoming paperwork (travel, contracts,
invoices) for Student Life and all student organizations using the
appropriate forms and procedures. Walk advisors through the travel
approval process and answer questions.
- Provide leadership development training to part-time and
work-study students (SAB retreat, iLead). Provide assistance and
training on purchasing, Accounts Payable, and credit cards to
campus personnel. Train travel and expense prepay auditor on
financial module and procedures, and act as backup.
- Oversee a majority of the Business Office operations as it
pertains to student Accounts Receivables and collection functions.
Monitor the progress and efficiency of workflows and respond to
changes in client/student needs as necessary. Implement and direct
processes to facilitate higher productivity and increased accuracy
within the department's operations.
- Function as pay cycle lead & provide direction to assistant pay
cycle specialist. Analyze and disburse various reports to
specialists for status & reconciliation of open vouchers and
perform upgrade testing for pay cycles.
- Troubleshoot problems, analyze student records, and resolve
issues with students and corporate sponsors by working with
LSC-System Office Student Accounting Department, LSC-Financial Aid,
LSC-Student Services, and the outside collection agency to answer
questions and resolve issues with billing and payment of tuition
and fees, tax statements, and on-line payment plans.
- Manage the process of purchasing goods and services which
includes preparing appropriate documentation to receive purchase
orders, confirming receipt of all goods and services, managing
inventories, and ordering/stocking of campus custodial supplies,
coffee supplies, copy paper, and departmental office supplies.
Develop internal and external supplier networking opportunities.
Provide guidance to the college community towards consistently
including diverse suppliers in the competitive bidding process in
an effort to increase utilization and bid opportunities for diverse
businesses. Assist in the ordering, receiving, stocking, and
distribution of office supplies. Receive, sort and distribute
incoming mail and shipments. Coordinate the pick-up and delivery of
express mail services (FedEx, Courier, etc.)
- Responsible for other reasonable, related duties as assigned

sedentary. Typically, the employee sits comfortably to do the work.
However, there may be some walking; standing; bending; carrying of
light items, such as papers, books, or small parts; or driving an
automobile. No special physical demands are required to perform the
work. WORK SCHEDULE AND CONDITIONS:
- Equipment used includes, PC workstation running on a LAN in a
Microsoft Windows environment, calculator, phone and other general
office equipment
- Internal and external contacts as needed to carry out the
functions of the position
- Work is performed in a climate-controlled office with minimal
exposure to safety hazards REQUIRED QUALIFICATIONS:
- High School Diploma or GED and at least 3 year of experience,
or an equivalent combination of education and experience
Salary
Hiring salary range is $33,540 - $38,571Lone Star College provides
a hiring salary range for all posted full-time non-faculty
positions. Where your salary offer would fall in that range is
determined by your related experience and education. Should you
